GPU Rental Enquiry Checklist: What to Include in Your Brief

By nimblegpu ·

A useful GPU rental enquiry describes the job you need to complete, the capacity you are considering and the terms you need confirmed. You do not need to have every answer before contacting a supplier. Mark unknowns clearly so the proposal can separate an agreed requirement from an option that still needs evaluation.

This checklist is an editable briefing aid for teams considering GPU compute rental. It is not an offer of a particular GPU, hosting region, price or delivery date. Use the fields below to request a written proposal that your technical and procurement teams can review together.

Start with the workload and its deadline

Describe whether the project involves training, fine-tuning, inference or another compute task. Include the software framework and version, model or application, dataset size where known, and the result you need to produce. A project deadline is useful context; it should not be presented as a benchmark that a proposed configuration has already met.

If your team has tested the workload, attach a short record of the configuration, workload and result. If it has not, ask how a proposed setup could be evaluated before a longer commitment. Keep required capacity separate from a configuration you would merely like the supplier to compare.

Use one shared enquiry sheet

Fields to include in a GPU rental brief
RequirementWhat to includeWhat to confirm in the proposal
WorkloadTask, framework, application or model, and evaluation criteriaProposed configuration and any assumptions requiring a trial
CapacityGPU count or memory requirement if known; alternatives you can considerExact hardware, available capacity and allocation terms
SchedulePreferred start, duration, working pattern and decision deadlineProvisioning date, reservation period and extension conditions
Data and locationData volume, storage needs, transfer plan and required hosting regionActual hosting location, storage scope and network arrangements
OperationsAccess needs, installation responsibilities and support expectationsWho configures the environment and the agreed support scope
Commercial reviewBudget range if available, purchasing entity and required quotation formatBilling basis, included items, additional charges and contract terms

Do not put passwords, access tokens or sensitive dataset contents into the enquiry. An initial description can explain the requirement without granting access. Agree an appropriate transfer and access process separately if the project proceeds.

Copy this short request

We are evaluating GPU rental for [workload]. Our preferred start is [date], for [duration]. We currently expect to need [capacity or “configuration advice required”]. Our software environment is [framework and version], and our storage and transfer requirements are [summary].

Please propose a configuration and identify the assumptions that need validation. Confirm availability, actual hosting region, provisioning arrangements, billing basis, storage/network charges, support scope and extension or termination terms. Our technical acceptance criteria are [criteria], and our procurement decision is needed by [date].

Replace each bracketed field with your requirement or state that it is unknown. The template deliberately asks for confirmation rather than assuming that a service, specification or commercial condition is included.

Review the reply before comparing headline prices

Compare proposals against the same workload, period and included services. List unanswered questions alongside the quoted amount. A lower headline figure does not resolve an unspecified configuration, an unconfirmed hosting requirement or a missing support responsibility.

If the decision is still whether to rent, reserve or buy, use our compute sourcing worksheet first. That guide compares the sourcing decision; this checklist helps you describe a rental requirement once you are ready to request options.

For projects that also require physical equipment or a combination of services, review the solution scenarios and identify each part of the scope separately.

Send the brief for a written proposal

Use the contact page to prepare your enquiry. The website opens a draft in your email application; review and send that email to deliver it. Keep the submitted brief with the eventual proposal so any changes in configuration, timing or responsibilities are clear during approval.
